3 waste document management problems (and how to solve them with Teixo)

We explain, through a real example, how to deal with various problems associated with waste document management with the help of the specialised software Teixo.

In the last two years there have been important regulatory changes that affect a large number of professionals in the waste sector, including the contents of the Royal Decree on waste shipments (RD 553/2020) and the Law on waste and contaminated soils (7/2022):

  • Royal Decree 553/2020 brings significant new developments for waste agents, dealers and managers, including the obligation to process waste shipment documentation through the regional platforms and MITERD.
  • In relation to Law 7/2022, this new regulation reinforces the obligations of producers and other holders of waste both in terms of waste management and the storage, mixing, packaging and labelling of waste). But it also revises the penalty regime and the scope of application, and incorporates new definitions.

If until now you have been using spreadsheets and paper to manage all your customers'' waste documentation, e-processing is a major change in your daily operations because you will need to familiarise yourself with the different environmental platforms. In addition, you will need to optimise your work process in order not to lose your competitive edge compared to other companies in the sector that have already digitised their document management.

But how do you take the first steps towards digital transformation? We explain, through an example, how to carry out waste document management in the traditional way and how you could do it with Teixo.

1. Electronic processing with different regional platforms

One week into the year 2022 and Oscar, Director of Environment in a company dedicated to integrated waste management, has just received a notification from the Public Administration. It indicates that, since 01/09/2020, someone in his team has processed a client''s documentation in an incorrect format and out of date.

“It''s a situation that has been recurring for a few months now", Oscar explains to Marta, the company''s founding partner. "Now we have to process all the waste documentation through four environmental platforms: Andalusia, Galicia, Valencia and e-Sir, which is the Ministry''s platform. Spending so much time on administrative procedures is not profitable. We are leaving aside other tasks that are much more important for the company”.

2. Creation of the chronological archive and annual reports

It is the end of February and, like every year, Oscar has to take care of sending the chronological archive and an annual report to the Ministry by 1 March. He is just in time because some of the data does not match..

Oscar: “Not again…Someone touched the spreadsheet and erased a column. .... Now I have to locate the paper documentation and start all over again... I was expecting to prepare all this in 15 days and now it will take me twice as long because I have to recover all the lost information”.

3. Signing treatment contracts

As he was about to leave the office, his colleague María, who is an environmental technician, called him.

María: “Oscar, don''t go. You have to generate and sign some treatment contracts”.
Oscar: “Can''t it wait until tomorrow, Maria? I''m in a hurry today”.
María: “I''m sorry, but no. They''re for our main client and I need them now”.

“I can never take a break…” - thinks Oscar.

solution for 3 problems: Teixo

So far we have presented you with three tasks associated with waste documentation management. All these tasks (electronic processing, signing of documents and creation of the chronological archive and annual reports) can generate a lot of administrative overhead. We explain how you could save time and money by carrying out these tasks with Teixo:

1. Generating and processing waste documentation

With Teixo you can generate all your environmental documentation (treatment contracts, transfer notifications, identification documents, etc.) in always up-to-date formats and process it directly with the regional platforms (GaIA in Galicia, SIACAN in Cantabria, IKS-eeM in the Basque Country, the Navarra platform, the Aragón platform, SDR in Catalonia, SINGER in the Balearic Islands, ADCR in the Valencian Community, SIRA in Andalusia, eDCS in Castilla y León) or with the Ministry''s platform (e-SIR)..

In addition, Teixo also processes waste shipment documentation with the autonomous communities that do not have their own platform: Asturias, La Rioja, Murcia, Canary Islands and Extremadura, as well as with the autonomous cities of Ceuta and Melilla via e-SIR.

2. To speed up the preparation of the annual report and the chronological archive

As at present, according to the waste regulations, you must have a chronological file and the annual report before 1 March of the following year. In addition, the new law extends this obligation to entities and companies that transport hazardous waste on a professional basis or act as dealers and agents of hazardous waste.

No matter whether you are a manager, agent, dealer or transporter: with Teixo you will be able to generate the chronological file, as well as speed up the collection of the necessary data to cover the annual report.

It also allows you to create certificates, commercial reports and environmental reports.

3. Sign your documents quickly and securely, from anywhere

With Teixo''s integrated digital signature, you can forget about printing, scanning and storing papers. You will eliminate tedious tasks, improve response time and save up to 80% in administrative costs compared to your paper signature process. It works according to eIDAS, European regulation 910/2014 that establishes the legal and security standards for the correct electronic identification of the signature.
